Refund or void a sale
Goal
Put a till sale right afterwards: give money back when something is returned, and clear away a sale that was started and never paid.
Prerequisites
- To refund: Sports & Leisure — receptionist or centre manager. A till operator sells and voids, but does not refund.
- Sports & Leisure is imported (the psl-sports-leisure solution).
Steps
Refund a sale
- Open Sports & Leisure → Till → Sales, choose Paid sales, and open the sale.
- To give back all of it, select Refund.
- To give back part of it, first type the new total given back into Refunded — 5 to give back £5 of £15.60 — then select Refund. It is Partly refunded; refunding again later gives back the rest.
Void a sale
- Open the sale from Till → Sales → Open sales — a sale somebody started and nobody paid, or one whose card was declined and was not paid another way.
- Select Void. It is kept, marked Voided, so the day’s record at the till stays whole.
What happens behind the scenes
Refunding a sale refunds its payment, as you. Money taken in cash is given back in hand, and nobody else is asked; money taken by card is asked of the payment provider, and if the provider will not refund, nothing changes and the message says why. The sale and its payment always say the same thing, which is why a till’s payment cannot be refunded from Billing → Payments — only from its sale.
A paid sale is not edited, not voided and not deleted: what was sold, and for how much, stays on record, and the refund is recorded beside it.
Troubleshooting
- "Only a paid sale can be refunded. An open sale is voided instead." — nothing was taken, so there is nothing to give back.
- "A refund cannot be more than the sale came to." — Refunded is the total given back, not the amount to add.
- "This payment was taken at the till for sale …" — refund it from the sale.
- A till operator’s refund is refused. — refunds are for the desk or a manager.
