Cancel a booking
Goal
Cancel a booking, let what it held go, and record the refund its cancellation policy gives.
Prerequisites
- You hold Sports & Leisure — receptionist or centre manager.
- The booking is Pending or Confirmed.
Steps
- Open the booking from Bookings.
- Select Cancel booking and choose who cancelled it:
- Cancelled by the customer
- Cancelled by the centre
- No-show
- The booking is Cancelled. Its Cancellation section shows when, the Refund % and the Refund.
What happens behind the scenes
Cancelling a confirmed booking lets everything it held go at once, so the court or pitch can be booked again straight away.
The refund depends on who cancelled:
| Who | Refund |
|---|---|
| The customer, with the policy's notice | the policy's refund with notice |
| The customer, later than that | the policy's refund without notice |
| The centre | all of it |
| No-show | none |
The policy is the booking's own Cancellation policy — taken from its first resource when it was confirmed. A booking with no policy is refunded in full.
When a member booked something their membership includes a number of — four courts a month — the use is given back if the centre cancelled or the customer gave enough notice, so they can book again.
Troubleshooting
- "A cancelled booking stays cancelled." — book again instead.
- "A booking that is not pending cannot be changed." — you tried to edit a confirmed booking's time or customer; cancel it and book again.
