Run a course

Goal

Offer a course — "Beginner swimming, four Saturdays at 09:00 in Lane 1, six places at £60 for the lot" — that a customer books once, for every session.

Prerequisites

  • You hold Sports & Leisure — centre manager.
  • Sports & Leisure is imported (the psl-sports-leisure solution).

Steps

  1. Open Classes → Courses and select New. Give it a Name, an Activity, its Places and the Price a place — the price of the whole course. Choose a Cancellation policy if its refunds follow one. Save. The course is Planned.
  2. On its Course sessions tab, select New for each session: when it Starts and Ends, and the Room. Sessions are numbered in the order you add them. Every session of a course is at one location.
  3. When the sessions are right, select Open for booking on the course.
  4. To call the course off, select Cancel course. Once its last session has ended, select Mark completed.

What happens behind the scenes

Opening a course holds the room of every session at once — all of them, or none if any one of them is not free — and fills in when it Starts and Ends and where it is. From then on nobody can hire those rooms at those times.

An open course's sessions are what people booked, so a session cannot be added or taken away. One can still be moved while nobody has booked the course; after that, sessions keep their times and rooms.

Cancel course cancels every booking of it as the centre's doing, each refunded in full, and lets every room go.

Troubleshooting

  • "Add the course’s sessions before opening it for booking." — a course with no sessions has nothing to book.
  • "… is already booked then." — one session's room is taken. Nothing is held until every session is free; move that session, then open the course again.
  • "Sessions are added while a course is planned." — the course is already open. Plan a new course if the sessions have changed.
  • "A course runs at one location." — every session is at the same centre.
