Enrol a member

Goal

Turn somebody at the front desk into a member with a membership.

Prerequisites

  • You hold Sports & Leisure — receptionist or Sports & Leisure — centre manager.
  • The membership type exists (Define a membership type).

Steps

  1. In Sports & Leisure, open Customers and find the person. If they are new, select New, enter their name, email, mobile and birthday, add a Photo if you have one, and Save. They get a Customer number.
  2. Open Members and select New. Choose the Customer, set Joined, and Save. They get a Member number.
  3. On the member's Memberships tab, select New. Choose the Membership type, set Starts and Ends, and tick Renews automatically if it does.
  4. Leave Price per payment empty and Save: it is copied from the membership type.

What happens behind the scenes

A customer need not be a member — somebody who only books a court now and then is a customer. A customer is one member at most: somebody who comes back after cancelling is the same member, reactivated, with their history intact.

The price is copied when the membership is sold and then belongs to the membership, so a later price rise does not reach it.

A member's status says where they stand — Active, Prospect, Suspended, Expired or Cancelled — and its reason says why: Payment overdue, At the member's request, By the centre.

Troubleshooting

  • The customer is refused as a member — they are one already. Find them under Members → All members and reactivate them.
  • "The end date cannot be before the start date" — check Starts and Ends.
