Run classes
Goal
Put a class on the timetable — "Yoga, Tuesdays at 18:00 in Studio A, twenty places at £10" — so that people can book it and nobody can hire the studio over it.
Prerequisites
- You hold Sports & Leisure — centre manager.
- Sports & Leisure is imported (the psl-sports-leisure solution).
Steps
- Open Configuration → Classes and select New. Give it a Name and an Activity — the activity is what a membership includes and what a price rule can name. Enter how long a session runs (Length, in minutes), how many Places it has and the Price a place. Choose a Cancellation policy if its refunds follow one. Save.
- Open Classes → Timetable and select New. Choose the Class, when it Starts and the Room — a studio, a court or a lane. Choose an Instructor if you know who teaches it. Save. The session is Planned: its end, places and price come from the class, and you may change any of them.
- Select Schedule. The room is checked as a booking of that many people would be — open then, the right length, big enough and free — and then held. The session is now on the Timetable and can be booked.
- To call a session off, select Cancel session. Once it has taken place, select Mark completed.
What happens behind the scenes
Scheduling a session holds its room exactly as a booking holds a court: nobody can hire Studio A during the class, a class cannot be scheduled over a hire, and a lesson in a lane holds the lane, so the whole pool cannot be hired over it either. The room shows on Bookings → Resource sheet with the class's name.
A scheduled session can be moved — a new time or room — while nobody has booked it. After that it keeps its time and room; cancel it and schedule another.
Cancel session cancels every booking of it as the centre's doing: each customer is refunded in full, and a class their membership included is given back to their allowance. The room is free again. Mark completed completes every confirmed booking.
A scheduled session is cancelled rather than deleted, so that its bookings are refunded.
Troubleshooting
- "Studio A is already booked then." — something already holds the room: a hire, or another session. Look at Bookings → Resource sheet for that day.
- "… is shared by everyone in it, so a session cannot have it to itself." — a gym floor is used without booking. Choose a room of its own.
- "A session with places booked keeps its time and room." — cancel it and schedule another; its bookings are refunded.
- "Places booked is counted from the bookings, not typed in." — the number changes as places are booked and cancelled.
