Set booking rules and prices
Goal
Decide what a booking costs, how it is refunded, and the limits on booking — "courts at most two weeks ahead", "students no more than three bookings to come".
Prerequisites
- You hold Sports & Leisure — centre manager.
Steps
-
Prices. Open a resource from Resources. In its Price section, enter the Price an hour — what an hour costs when no price rule says otherwise — and choose its Cancellation policy. Save. Prices for members, weekends, the evening and the rest are set in a price list: Set up prices.
-
Rules. Open Configuration → Booking rules and select New.
-
Name the rule, then say who it is for:
- a For members of membership type — only members of that type;
- a For resources of type — only bookings of that kind of resource;
- both, or neither for everybody.
-
Fill in the limits you want and leave the rest empty:
Limit Meaning Bookable up to (days ahead) how far ahead a booking may start Notice needed (minutes) how soon before it starts it may still be booked Longest booking (minutes) how long one booking may be Bookings to come, at most how many confirmed bookings a customer may have ahead of them -
Save. The rule applies from the next booking confirmed.
What happens behind the scenes
Every rule that applies to a booking is checked, so when two rules disagree the stricter one wins — there is no order to arrange them in. Set a rule inactive to stop it applying.
A resource's own Shortest booking, Longest booking and Booking interval still apply on top of any rule. What a member pays is decided by their membership type's entitlements (Define a membership type); what everybody pays is decided by the price list, and the price an hour is used only where no price rule fits.
Troubleshooting
- "A booking rule's limits are not negative." — enter 0 or more, or leave the limit empty.
- A rule seems to be ignored. Check it is active, and that the booking is for that membership type or kind of resource.
