Set up prices

Goal

Decide what a booking costs — "a court is £8 an hour for members on a weekday, £12 in the evening, £18 for everybody else" — without touching a single booking.

Prerequisites

  • You hold Sports & Leisure — centre manager.
  • Sports & Leisure is imported (the psl-sports-leisure solution).

Steps

  1. Open Configuration → Price lists and select New. Give it a Name and a Currency — the location's, such as GBP. Choose a For location only if this list is for one centre; leave it empty for every centre. Set Valid from and Valid until if the prices are for a period. Save.

  2. On the list's Price rules tab, select New for each price. Choose what the rule Does:

    DoesEnterPer
Pricethe AmountAn hour or A person an hour — or A person, which prices a place in a class or course
    Discountthe Percent off—
Feethe Amount addedAn hour, A person an hour, Once or A person
    Taxthe Percent added—
  3. Say when the rule applies, and leave everything else empty — an empty condition holds for everything:

    • For what: a Resource, a Resource type or an Activity.
    • For whom: Members or Non-members, or a Membership type.
    • When: Days (one day, Weekdays or Weekends), a time window — From and Until in minutes after midnight, 1020 and 1320 for 17:00 to 22:00 — and a From date and Until date.
    • How long, how many: the length of the booking in minutes, and the size of the party.
  4. Save. The next booking confirmed is priced by it; a quote shows it at once.

What happens behind the scenes

One price list prices a booking: the active one in the location's currency that is valid on the day. A list for the location comes before a list for every location, and a newer list before an older one. Lists are not combined.

When several prices fit, the most specific wins: a date, then a day or time, then an activity, a membership type, members or non-members, a resource, a resource type — each counts for more than everything after it together. Priority (0–999) decides between rules that are otherwise equal, then the name. A booking that runs across a time window is priced on each side of it: 16:00–18:00 against a 17:00 peak is an hour of each. Where no price fits, the resource's own Price an hour is used.

Then the largest discount is taken off — the member's own (a booking their membership includes is 100% off) or a discount rule's. Discounts are never added together. Then every fee is added, even to a booking the membership includes, and last every tax.

A confirmed booking keeps its price, split into Before discount, Discount, Fees, Tax and Price, and How the price was worked out names each rule. Changing a rule later does not change a booking already confirmed.

Troubleshooting

  • "A price is an amount an hour, a person an hour, or a person for a place in a class or course." — something charged once is a Fee.
  • A class costs its own price, not the rule's. A place in a class is priced only by rules charged A person; a rule An hour prices time on the room, not a place in a class held there.
  • "A time window has a start and an end." — fill in both From and Until. A window past midnight is two rules.
  • "… charges in GBP, so its price list is in GBP too." — a list for one location uses that location's currency.
  • A rule seems to be ignored. Check that it is active, that its list is the one being used — open a booking's Priced from — and whether a more specific rule fits too.
