Open the booking portal
Goal
Let customers book courts and classes online, from a phone, a tablet or a computer.
Prerequisites
- Sports & Leisure 2.2.0 or later is imported.
- You can manage portals in the Admin Control Center.
Steps
- In the Admin Control Center, open the Sports & Leisure solution and choose Portals.
- Open Online bookings. Give it an address, for example
book, and tick Published. - Save. Give the address to your customers: on your website, a poster at the desk, a confirmation email.
What customers can do
- Book a court: choose what, then a day, then a free time. They see the price, or that their membership includes it.
- Book a class: choose a centre, then a day, then a class with places left.
- My bookings: see their bookings and cancel one that has not started.
- Home: see their membership and its dates.
They pay at the desk. Buying or renewing a membership stays at the desk too.
What happens behind the scenes
Every customer signs in, because a booking has to know whose it is. Somebody creates an account, confirms their email address, and signs in.
How a customer is linked to their record. The first time they open the Home page:
- If their portal account is already linked to a customer, that customer is used.
- Otherwise, if exactly one customer has their email address and no portal account yet, they are linked to that customer. Their membership then applies.
- Otherwise they become a new customer, with the name they signed up with.
Two customers sharing one address (a family, for example) are not linked; the visitor becomes a new customer, and the desk can merge them. The link is the Portal account field on the customer. Clear it to unlink somebody.
A booking made online is checked and priced exactly like one made at the desk, and appears in Bookings with the customer on it.
Customers act under the Sports & Leisure — portal visitor role, which can read what can be booked and make and cancel bookings, and nothing else. Every page reads the customer from their signed-in session, so one customer can never see or cancel another's booking.
Troubleshooting
- Pages are empty. The portal host needs the
parsware.apiscope. Ask your administrator. - A member pays the full price online. Their email at the desk differs from the one they signed up with. Correct it on the customer, clear Portal account, and ask them to open Home again.
