Sell at the till

Goal

Sell something over the counter and take the money for it, so the sale, its payment and the day’s takings are all on record.

Prerequisites

  • You hold Sports & Leisure — till operator, receptionist or centre manager.
  • Sports & Leisure is imported (the psl-sports-leisure solution).
  • The products are set up (Set up the till).
  • To take cards, an administrator has set psl_payment_provider under Environment Variables — the same payment provider billing uses.

Steps

On the till

  1. Open Sports & Leisure → Till → Till.
  2. Under This till is at, select your location. The till does not remember it between visits, so do this each time you open it.
  3. If the customer is a member, type the Customer number from their card, so they pay the members’ price. Leave it empty for anybody else.
  4. Press each product being bought — press it again for another. − takes one off.
  5. For cash, type what was handed over into Cash handed over (leave it empty for exact money) and press Cash. For a card, press Card. For anything else — a voucher, a cheque — press Other.
  6. The till answers with the sale’s number, its total with tax and any members’ prices, and the change.
  7. Press Next customer to start again.

On a sale’s form — for a sale that needs more than the till offers, such as a discount:

  1. Open Till → Sales and select New. Choose the Location and, before anything else, the Customer. Save.
  2. On the Sale lines tab, add each product and how many. Give a discount with Discount given (%).
  3. Type Cash handed over if it is cash, then select Take cash, Take card or Take other payment.
  4. To print a receipt, select Print → Receipt.

The till's screen

The till fills the whole window, with no platform bar above it — its own All apps and Sign out buttons are top right. Each product is a coloured button, in its category's colour, so drinks are found by colour before a word is read.

What happens behind the scenes

The till decides nothing itself: it sends the sale to the server, which prices every line from its product, adds the tax, takes the payment and records it — the same path whether the sale is rung up on the till, on the form or by an app. What the till shows before you pay is the shelf price; what it shows after is what was charged.

Every payment is an ordinary payment record, beside the ones billing takes, so Today’s revenue and the Refunds report count the till without anything extra. A card is taken through the business’s payment provider; cash and other payments are recorded as handed over.

A card declined is an answer, not a failure. The sale stays Open, the refusal is on its Payments tab with the provider’s reason, and the till asks you to take it another way. Pressing Cash, Card or Other then pays that sale — nothing is rung up twice.

Troubleshooting

  • "Choose which location this till is at." — select it under This till is at.
  • "The cash handed over … is less than the sale comes to." — nothing was taken; type the right amount.
  • "Choose the customer before the first item." — a member’s prices are worked out as each item goes on, so the customer comes first. Void the sale and start again with them.
  • "… was declined. Take it another way…" — the till is holding the declined sale until it is paid; pay it, or void it from Till → Sales, before selling anything else.
  • The payment provider did not answer. — nothing was taken or recorded; try again, and the same reference is sent, so the card cannot be charged twice.
