Model a resource tree

Goal

Describe what can be booked at a location, including a pitch that can be booked whole or in parts — all of Pitch 3, or just Pitch 3A.

Prerequisites

  • You hold Sports & Leisure — centre manager.
  • The location exists (Set up a location).
  • The kinds of resource you need exist under Resource types (tennis court, football pitch, pitch section…), and what people do on them under Activities.

Steps

  1. In Sports & Leisure, open Resources. The Resource tree view shows every resource under the one it is part of.
  2. Select New and create the whole resource: Name Pitch 3, its Resource type, its Location, and Allocation Divides into parts. Tick Bookable if it can be booked whole.
  3. Save.
  4. Create a part: Name Pitch 3A, Part of Pitch 3, Allocation Exclusive. Leave Location empty — a part is at its parent's location.
  5. Repeat for each part, then go back to Resource tree: Pitch 3 now has its parts under it.
  6. On each resource's Resource activities tab, add the activities it hosts — Football on the pitch and on each section.

What happens behind the scenes

The Allocation decides how booking a resource affects the ones around it:

AllocationMeaning
ExclusiveOne booking at a time.
Divides into partsBooking it takes all of its parts, and a part that is booked keeps it from being booked whole.
Shared capacityMany people at once, up to its Capacity — a gym floor, a public swim.

That is why only a resource that divides into parts can have any, and why a resource with parts has to keep dividing: otherwise the whole and a part could both be booked for the same hour. Nothing here is specific to football — a pool divides into lanes, and a sports hall into courts, the same way.

Booking interval, Shortest booking and Longest booking are in minutes, and bookings will be held to them.

Troubleshooting

  • "… does not divide into parts, so nothing can be part of it" — open the parent and set its Allocation to Divides into parts first.
  • "This resource has parts, so it has to keep dividing into parts" — move its parts elsewhere first, or leave its allocation as it is.
  • "A shared resource needs a capacity" — enter how many people can use it at once.
