See what happened with a record

Goal

See everything recorded about a record in one place, newest first: on a customer, their emails, calls and notes. Narrow it to one kind, open any item, and add a new one that is already linked to the record.

Prerequisites

  • You are signed in to the Platform Shell and have opened an app.
  • The record's form has a timeline section. If it does not, ask the person who built the app to add one.

Steps

  1. Open the record: select its row in the grid and choose Edit. A record that has not been saved yet has nothing linked to it, so its timeline says to save it first.
  2. Find the Timeline section. Each item shows an icon for its kind, its title, when it happened, its status, and who owns it, with the opening words of its text underneath. The newest is at the top.
  3. To see only one kind, select its chip above the list, such as Phone call. Select All to see everything again.
  4. To read an item in full, select its title. It opens as a record of its own. Close brings you back.
  5. To add one, select New and choose what kind. A new record opens with its link back to this record already filled in, and its kind already chosen. Fill it in and save.
  6. If there is more than one page of items, Load more at the bottom shows the next ones.

What happens behind the scenes

A timeline lists the records of other tables that point at this one. It reads them with your permissions: an item you are not allowed to read is not shown, and New offers only the kinds you may create. Two people looking at the same customer can see different timelines. That is intended: it is the same rule every list in the app follows.

Troubleshooting

  • The timeline says to save the record first. Nothing can point at a record that does not exist yet. Save it, and the timeline appears.
  • There is no New button. You may read these items but not create them. Ask an administrator if you should be able to.
  • An item I know exists is missing. Your role may not let you read it. It is also worth checking that it is linked to this record and not to another one with a similar name.
