Log an activity
Goal
Keep a record of what you did, or will do, with a customer, so it shows on their timeline and anybody picking up the account can read it.
Prerequisites
- You have opened Parsware Sales.
The five kinds
| Type | Use it for | What it adds |
|---|---|---|
| a message to a customer, sent from Parsware | To, Cc, and whether it went | |
| Phone call | a call made or planned | the number, the outcome, how long it took |
| Task | something to do by a date | a priority |
| Appointment | a meeting | when it ends, where, an online meeting link |
| Note | anything worth remembering | nothing more: the text is the point |
Every kind has a Subject, Regarding (the account, contact or lead it is about), a Date and a Description, and can carry an Attachment.
Start one from the customer
This is the usual way, because the activity arrives already about them.
- Open the account, contact or lead.
- On its Timeline, press New and choose the kind.
- The activity opens with Regarding and Type filled in, and only the boxes that kind uses.
- Fill in the Subject, the Date and what happened, and press Save.
The date is when it happens: when a call was made, a task is due, an appointment starts. Leave it empty and it is dated when you save. The timeline and every list are in date order.
Start one from Activities
Open Activities and press New. Choose the Type first, because the form shows each kind's boxes and hides the rest. Then choose what it is Regarding.
The type cannot change after the first save. A phone call does not become an email, because the call's number and outcome would mean nothing on an email. Make a new activity instead.
Finish it
Press Complete on the activity. It is marked Completed and saved, and it leaves All open activities. An email is completed by sending it, so Complete on an email tells you to press Send instead.
Find what is still to do
Activities › All open activities lists everything not completed, in date order: overdue work at the top, then what is coming up. The other views narrow it to open emails, phone calls, tasks or appointments.
