Filter Records with AND/OR Conditions

Goal

Narrow a list of records to exactly the ones you want by building a filter of field-by-field conditions, grouped and combined with And / Or — including nested groups for more precise logic (the same idea as Advanced Find in Power Apps / Dataverse).

Prerequisites

  • You are signed in and can open the entity's list view.
  • The entity has the fields you want to filter on.

The two places you can filter

There are two filters, and they work together:

  • A quick, one-off filter while browsing (the app). On an entity's list view, open the filter panel, build your conditions, and apply them. The filter lasts for your current session and is not saved to the view.
  • A saved filter that everyone sees (the View Designer). When you author a view, you can give it a built-in filter. Every time anyone opens that view, the saved filter is applied automatically. A one-off filter a user adds on top is combined with (Anded to) the saved filter.

Steps — filter while browsing an app

  1. Open the entity's list view.
  2. Select Filter in the command bar. A panel opens.
  3. Choose a group connector at the top of the group: And (a record must match every condition in the group) or Or (a record must match at least one).
  4. Select Add condition. Pick a field, an operator (the operators offered depend on the field — for text you get Contains, Equals, Is empty, …; for numbers and dates you also get Greater than / Less than), and a value.
  5. Add more conditions the same way. To express something like "(A or B) and C", select Add group to nest a sub-group, then set that sub-group's connector and add its conditions.
  6. Select Apply. The list refreshes to show only the matching records, and the Filter button shows a dot to indicate a filter is active.
  7. To clear it, open the panel again and select Clear.

Steps — save a filter on a view

  1. Open the View Designer for the view (create a new view or edit an existing one).
  2. Select Filter at the top of the designer. A panel opens.
  3. Build the condition groups exactly as described above, then select Apply.
  4. Save the view. The filter now travels with the view like its columns and sorts, and is applied for everyone who opens it.

What happens behind the scenes

Your condition groups become a small, saved definition attached to the view (or, for a one-off filter, sent with your query). The server evaluates the groups when it fetches records, so filtering happens in the database — only matching records are returned, and paging still works normally.

Troubleshooting

  • An operator you expected isn't listed. Operators are tailored to the field's type. Greater than / Less than appear for numbers and dates, not for plain text.
  • "Is empty" / "Is not empty" have no value box. That is expected — those operators test only whether the field has a value.
  • Your filter matches nothing. Check whether a group is set to And when you meant Or — an And group requires every condition to match at once.
